Returns are a part of ecommerce — no matter how good your products and descriptions are, some percentage of orders will come back. Processing Returns in Shopify

When a customer requests a return, go to Shopify Admin → Orders → select the order → Refund. You can issue a full refund, partial refund, or store credit. Shopify generates return labels if you are using Shopify Shipping. For returns not triggered through Shopify Shipping, you will issue labels manually via your carrier’s portal and share the tracking number with the customer.

Set up a dedicated customer service inbox or use a helpdesk like Gorgias or Tidio to manage and respond to return requests quickly and systematically.

Offer Exchanges Before Refunds

When a customer wants to return, always offer an exchange or store credit as the first option before processing a cash refund. “We can swap this for a different size or colour, or offer you store credit with an extra 10% on top — whichever you prefer.” Many customers accept exchanges or credit because it is simpler than waiting for a card refund. This practice retains revenue and often turns a return situation into a repeat purchase.

Track Return Reasons to Fix Root Causes

Ask for a return reason on every return request — and record them in a spreadsheet or your returns platform. Review this data monthly. If “size too small” appears in 30% of returns for a specific product, your size guide needs to be more specific about that product’s fit. If “not as shown in photos” appears frequently, your photography does not represent the product accurately. Return data is the most actionable quality feedback you will ever receive.

Prevent Returns With Better Product Information

The best returns strategy is preventing unnecessary returns through excellent product information. Detailed size guides with actual measurements, honest descriptions of colour accuracy (“this product is darker in person than in the photo — see our natural light image”), fabric feel descriptions, and multiple angles of photography all reduce the gap between expectation and reality — and therefore reduce returns before they happen.
