Order Management: The Backbone of Customer Experience

Every order is a promise. The customer paid; you’re responsible for delivering what you said, when you said, in the condition described. Order management — the systems and processes that take an order from placed to delivered — determines whether you fulfill that promise consistently at scale. Poor order management generates late deliveries, wrong items, lost packages, and the negative reviews that compound over time. Good order management is invisible to customers because everything just works.

Shopify Order Processing Workflow

  • Order placed → automatic confirmation email (Shopify triggers this)
  • Fraud check → Shopify risk score, manual review for high-risk flags
  • Pick and pack → warehouse team notified via email or 3PL feed
  • Dispatch → tracking number entered in Shopify → automatic shipment notification email to customer
  • Delivery → post-delivery email trigger (via Klaviyo or Shopify Flow): review request, usage tips
  • Returns → return authorisation via returns portal, refund processed within 5 business days

Order Editing

Shopify allows order editing (Admin → Orders → Edit) before fulfilment: add or remove products, update quantities, change variant. You cannot edit after fulfilment without a refund and reorder. Use order editing for: customers who emailed within minutes asking to change size/colour, combining two orders placed in quick succession, correcting address typos. Note: if you edit an order, the customer must pay any price difference via an email invoice.

Multi-Location Inventory Management

If you fulfil from multiple locations (own warehouse + 3PL + retail store), Shopify’s multi-location inventory tracks stock at each location and routes orders to the nearest location with available stock. Configure in Admin → Settings → Locations. Set fulfilment priority per location (e.g., own warehouse first, then 3PL when own stock depleted). Shopify automatically fulfils from the correct location and deducts from the right inventory count.

  • ShipStation — streamlined fulfilment, discounted carrier rates, barcode scanning for accuracy
  • Veeqo — free multi-channel OMS (Amazon-acquired), good for growing stores
  • Shopify’s native OMS — sufficient for most stores under 200 orders/day with a single channel
